Rental Agreement

Age Requirement and Responsibilities:

  • Adult renters must be at least 25 years old.
  • Guests under the age of 21 must be accompanied by parents and/or adults over the age of 25 who make up the majority of the party.
  • For security purposes, provide a copy of your photo ID within 24 hours of booking and a complete list of guests with their ages. We reserve the right to cancel with no refund if this information is not received.

Property / Reservation Policy:

  • The property is for temporary and transient use only, and not as a permanent residence.
  • Maximum occupancy must not exceed the specified limit on the listing. Violation of this policy leads to a charge of $250 per unauthorized guest and/or immediate eviction.
  • Third party bookings are prohibited. The person in whose name the reservation is made must be present throughout the entirety of the guest stay.
  • Over occupancy, parties, weddings/receptions, and other gatherings or events are strictly prohibited. Commercial photography is also prohibited. Violations will result in immediate eviction without refund unless otherwise specified in the property listing.
  • The property may have 24/7 outdoor video surveillance covering the cabin’s perimeter and driveway. (Note: The hot tub is not under video surveillance.)
  • Do not attempt to access the Owners’ closet, which will be locked.
  • Upon arrival, inspect the rental unit and report any unsatisfactory conditions within two hours. After this period, the property is provided “as is,” and the host will not be held responsible for amenity availability.
  • Contact the Owner or property manager immediately for maintenance, housekeeping, or hazardous conditions by contacting our 24/7 Support line at 865-280-3438. Timely reporting helps prevent unwarranted damage charges.
  • Guests are financially responsible for damages to the property and its contents, excluding those caused by acts of nature or normal wear and tear.
  • An active credit card on file is required for property damage, channel streaming, or lost or stolen items.
  • Please allow reasonable time for the property manager’s response to any issues and give permission to enter for quick resolution. We may only enter the property at your invitation unless there is an emergency that can cause damage or is a guest safety concern.
  • Guests waive rights against the property manager for inoperable equipment if not reported within the first two hours.
  • Due to our proximity to the National Park, insects which are common to the area may enter and there will be no refunds issued if that occurs. While we have regular pest control service, spiders, ladybugs, beetles, flies, bees, and other bugs present in mountain areas may occasionally be found in the unit. Please keep doors and windows closed during your visit. Contact the property manager for pest control concerns during your stay at our support line.
  • You are booking a property in black bear habitat. The host is not responsible for damages to vehicles or other personal property caused by bears or any other wildlife. We are not responsible for personal loss, injury, or illness resulting from wildlife encounters during your visit.
  • Feeding bears is a federal violation, and charges will be filed against guests who intentionally feed them.
  • Using a bunk bed and ladder poses risks; renters and occupants using these items agree to do so at their own risk.
  • The host is not responsible for personal loss, injury, or illness resulting from bunk bed use. Parents must take full responsibility for minors.
  • Guests must adhere to industry standards (Top bunk weight limit: 175 lb.; No jumping or horseplay around the bunk bed or ladder; Always use the ladder for entering or leaving the upper bunk).
  • Linens and towels are provided at one per guest. Additional linens may be brought from home. Guests are responsible for lost or damaged items at twice the published standard purchase price.
  • Guests must shower before using the hot tub. Pregnant women in the 1st trimester and children under 5 should not use hot tubs, and alcohol should be avoided before or during hot tub use. Bacterial infections are rare, but may occur. Guests soak at their own risk.
  • We offer a fixed outdoor grill at some of our listings that should not be moved; please clean the grill, turn off the gas when applicable, and replace the cover only when the grill is fully cooled.
  • Propane tank responsibilities: We provide a propane tank but cannot guarantee that it won’t run out before or during your stay. In this case, guests are expected to refill propane tanks at their own expense; and may not take ownership of the tank. Missing propane tanks will be billed at twice the retail rate. Charcoal for park style grills is not provided.
  • Engaging in criminal activity on the property is strictly prohibited, and there are strict burn and campfire regulations. Guests are responsible for being knowledgeable about legalities; violations may lead to fines, prosecution, and immediate eviction. We may cooperate with investigations into alleged criminal activities during your stay.
  • The attached confirmation includes reservation details; changes are rare, but if your booked unit is unavailable, we’ll strive to offer a comparable unit or provide a refund.

Occupant Responsibility:

  • You are solely responsible for the conduct of all occupants during your stay, ensuring their understanding and compliance with these terms.
  • Guests violating the no-smoking rule will incur a $500 charge for ozone cleaning.
  • To prevent theft or damage, ensure doors and windows are closed and locked when you’re away or during check-out.
  • Treat the property as your own, maintaining its original condition.
  • Clean spills, dispose of trash properly, and refrain from parties or using small particles like glitter or confetti. Excess cleaning fees will be added for failure to comply.
  • You and other occupants commit to respectful and non-disruptive behavior, avoiding noise or other complaints from neighbors, police, or associations, and adhering to parking rules during your stay.
  • Pets are not allowed unless the listing states “pet-friendly.” The prohibition doesn’t guarantee an animal-free environment or the absence of pet allergens.
  • Bringing unauthorized pets will result in a minimum fine of $500 per pet and eviction with no refund.
  • In accordance with the site’s terms, the ADA, and FHA regulations, we have the following Rules for our guests with Assistance Animals. This ensures that both your stay, and that of our guests after you will be enjoyable and relaxing. Please confirm in written form, that you agree to the following rules:
    • Your Assistance Animal should not be left unattended at any time. Ever.
    • Your Assistance Animal should have a collar, harness, or microchip with identifying owner information attached should it become lost.
    • Please provide an advance copy of your Assistance Animal’s rabies vaccine (current thru your stay) and all vaccines to date.
    • Your Assistance Animal must be on a leash at all times or under control of verbal or sight commands that they follow at all times.
    • Your Assistance Animal must be housebroken, non-aggressive, not destructive, and not display repeated, unprovoked barking.
    • We can ask you to remove your Assistance Animal and/or leave for excessive barking, aggressive or damaging behavior or obvious lack of sanitation.
    • Puppies and Service Dogs in-training are not recognized under the ADA. We regret we are unable to accommodate those animals.
    • Your service animal must use the bathroom outside. Indoor piddle pads are not allowed.
    • Please clean up feces in the yard immediately and dispose of the bags properly. We do not provide them so please come prepared.
    • Please keep your Assistance Animal off the furniture and counters.
    • You are always responsible for your Assistance Animal’s behavior. While we reasonably expect that your specialty Assistance Animal is well-trained, should any damage occur, you are responsible for the cost of any additional cleaning, repairs, or replacements as a result.
  • Note: We fully support our guests who legitimately need assistance animals.
  • Please be aware that fraudulent misrepresentation of a pet as a Service Animal IS a federal crime under the ADA, as well as under various state and municipal statutes throughout the US, punishable by civil penalties, including fines and jail time.
  • Children under the age of 18 must be supervised at all times
  • Quiet hours are from 10pm to 8am.

Check-Out and Fees

  • Self Check-In: We offer self check-in with a door code active from 4pm on your arrival day.
  • Standard Check-In Time: Standard check-in is at 4:00 pm, but please note that peak seasons or inclement weather may cause delays.
  • Early Check-Ins: Early check-ins may be possible after 2 pm, subject to unit availability. Please message the host on the day of check in to inquire.
  • Unauthorized Early Check-Ins: Avoid entering before the designated time unless approved, as unauthorized early check-ins may incur a fee unless prearranged.
  • Check-Out Time: Standard check-out is at 10:00 am.
  • Late Departure Fee: Late departure may incur a fee of $50 up to one night’s rental, billed to your credit card.
  • Compensation for Late Check-Out: Any compensation to the next incoming guests as a result of your late check-out will also be charged to your account.
  • Refunds Policy: No refunds will be given for no-shows, early arrivals, or early departures. We are not responsible for weather or other acts of nature which deter travel. We strongly advise purchasing third party travel insurance for unforeseen circumstances. Death and illness among the party, including Covid-19 do not qualify for refunds outside of the stated cancellation policy.
  • Property Availability: The host is not liable for the property being unavailable due to reasons beyond our control.

Credit Card Authorization:

  • Usage Agreement: I agree to use the provided credit card without a physical signature on the charge slip.
  • Authorization Validity: This Credit Card Authorization cannot be revoked and will remain valid until 90 days after vacating the rental.
  • Extra Charges Disclaimer: I acknowledge that I may incur extra charges for unauthorized calls, satellite TV charges, streaming of movies, excessive cleaning, damages beyond normal wear and tear, and unreturned keys or amenity passes as well as other fees as stated in this document.
  • Alternate Payment: If the listed card is declined or expired, I will provide an alternate form of payment immediately.
  • Rate Information:
    • Determining Factors: Rates are determined by factors like location and features and may change without notice.
    • Rate Stability: The agreed-upon rate at booking, including special offers, remains fixed and unaffected by future adjustments.
    • Post-Booking Discounts: No additional discounts or specials can be applied post-booking.

FAQ

  • Bedding and Towels: Do I need to bring sheets and towels? No, you only need to bring your spa and/or pool towels. We provide standard linens (one set per person) to accommodate the maximum occupancy. Guests are welcome to bring additional sheets and towels for their added comfort.
  • Kitchen Supplies: Are there dishes and pots & pans in the kitchen? Yes, our kitchens are stocked with all basic kitchen utensils and cookware including a coffee maker.
  • Provided Starters: Will my vacation rental have soap/toilet paper, etc? We provide “starters” of paper towels, toilet paper, dish soap, dishwasher soap and bar soap, but it likely will not be enough to last you throughout a longer stay. You’ll need to provide your own laundry soap and any toiletry items.
